Job Summary:

Provides clerical support for the development and delivery of LBCC Extended Learning programs. Performs a variety of office and general clerical duties for staff, instructors, students, and the public. Position is based primarily at the Albany campus, but may also serve other LBCC locations as needed.

Required Qualifications:

Education and Experience: Position requires a high school diploma or equivalent.

Licenses and Certifications: Requires a valid Oregon driver’s license.

Knowledge and Skills: Requires basic knowledge of general office practices, procedures, office technology and computer use. Requires proficiency in Excel spreadsheets and word processing, with attention to detail and accuracy of data entry and proof reading. Requires excellent communication skills, verbally and in writing. Must have the ability to meet timelines, track and complete projects efficiently and effectively.

Abilities: Must be able to perform the duties of the position efficiently and effectively with minimal supervision. Requires the ability to make independent judgments for the health and safety of people and property. Must be able to prepare, with a high degree of accuracy, routine or customized reports, correspondence or materials using word processing, spreadsheet, database, and/or online applications. Requires the ability to learn, understand and apply college rules, regulations and policies, as well as those policies specific to the Extended Learning department. Must have the ability to operate general office equipment and computers. Must be able to organize and prioritize tasks in order to meet schedules and timelines. Requires ability to communicate with peers and other college staff or public in a manner that reflects positively on the department and the college. Must be able to work respectfully with individuals from all cultures, backgrounds and perspectives.

Preferred Qualifications:

Knowledge and understanding of community education, recreation, special events or related program development is preferred. Knowledge and experience with social media for the workplace, google applications, and online registrations systems is preferred.

A minimum of two years’ general office or related experience is preferred. One year of related coursework may substitute for one year of general office experience. Experience in student services or program planning is preferred.

Physical Requirements and Working Conditions:

Physical Skills and Abilities: Position may require periods of standing, lifting of light to medium weight materials (10 to 50 pounds), and walking. Learned physical skill is required to operate a computer and other office equipment. Must be able to communicate effectively in person and over the phone.

Working Conditions: Work is typically performed in an office setting with little or no exposure to health and safety hazards. Substantial time is spent working at a computer. Schedule requires working some evenings with variation during breaks between terms and peak times. May require some early/late hours and some Saturdays. Requires travel between LBCC Benton Center and other locations within Linn and Benton counties. Must provide own transportation.

Essential Duties:

Assists the Director of Extended Learning and the EL team with noncredit schedule preparation, class planning, data entry, development of course outlines, and other misc. tasks as assigned. Helps to serve and maintain good communication with LBCC part-time faculty. Provides information about classes and programs to staff, students, and the public.

Provides clerical support including, but not limited to, typing and proofing facility use applications, preparing third party agreements, forms and reports related to classes scheduled at Senior Centers, Libraries, partner facilities and other various locations.

Assists with facility logistics, which may include scheduling audio visual and media needs for classes, verifying dates, summarizing rentals, and updating schedules as directed. Monitors enrollment and course cancellations. Accepts and processes registrations as needed. Compiles data, types reports, updates data list and organizes computer files. Accepts and processes registration as needed.

Performs various services, including both on-site and offsite activities to support the instructional programs throughout Linn and Benton Counties. Collects registrations and distributes promotional materials each quarter.

Assists with scheduling instructor evaluations. Updates evaluation-tracking list, prepares packets for evaluations, contacts instructors, tallies and processes results, distributes results to instructors, makes copies, files and archives records per procedures. Provides additional assistance with evaluation processes as needed.

Provides excellent customer service and receptionist duties for the Extended Learning department. Serves as a first responder to inquiries, takes messages, explains policies and procedures, answers questions and handles routine problems and complaints. Refers students to various services. Follows college and Extended Learning dept. guidelines for handling and referring significant or unusual problems.

Participates with other staff in developing and implementing process improvements in customer service and other areas as needed.

Performs other related duties as assigned.
